Filter, print and email a report
Narrow a report with its filters, print it or save it as a PDF, and send it on a schedule with an Excel, Word or PDF file attached.
In short
Narrow a report with its filters, and print it or save it as a PDF from the browser. A schedule can also email it, with the Excel workbook, the Word document or the PDF attached when that is safe.
Before you start
- Who: anyone who can run the report can filter and print it. A schedule needs a confirmed email address. Recipients need no {{brand}} account.
- Plan: Analytics is part of every plan, Free included.
- First: for a schedule, decide who may see every figure; a file is attached only when all recipients may.
Steps
- Open a report and choose its target. When it has filters, a select appears for each one beside the target.
- Choose a value, or keep "Any". The report runs again with it, and the address keeps it for a link or a reload.
- Press "Download" and choose "Print / Save as PDF".
- In the browser's print window, choose a printer or Save as PDF.
- Press "Schedule…" on the report. The schedule keeps the filters you chose.
- Under "File with each email", choose "None - the link only", "Excel workbook", "Word document" or "PDF document".
- Add recipients and press "Save schedule".
Result: the paper version prints in light colours on A4 with the workspace, the date and page numbers, and charts as they look on screen.
Good to know
- Every email links to the kept copy of the report. The file is attached only when it is 5 MB or smaller, and never when some recipients may not see every figure.
- A kept run shows its "Fingerprint", which also prints, so a copy can be checked against the original.
- "Show as table" turns a chart into a table you can read with a screen reader; "Copy data" pastes it into a spreadsheet.
- A download always matches the filters on screen.
A file leaves the platform's rules behind Once a report is printed, saved or attached to an email, access rules no longer apply to it. Check the recipients before you save a schedule.
If something goes wrong
- The file is not in the email: it is larger than 5 MB, or some recipients may not see every figure. The email still carries the link.
- A filter disappears: the target you chose no longer offers that value.
