Find, open and delete saved reports
Open a kept run, run it again or remove it.
In short
The "Saved" part of Reports lists the reports you saved in this workspace, newest first. Open one to see it as it was, run it again, download it, send it to a conversation or a card, or delete it.
Before you start
- Who: the person who saved the report. A report made inside an organization opens only while its owner is still a member.
- Plan: Analytics is part of every plan, Free included.
- First: save a report with "Save report", or let a schedule save it.
Steps
- Open Analytics › "Reports", then choose "Saved". The newest are listed first; "Show more" brings older ones.
- Search, or filter by report or module.
- Click a row to open the report as it was, with the run before it laid over it.
- Press "Run again" to open the report page for the same target, or delete a run you no longer need (it asks first).
- To pass it on, open it and press "Send". Choose "Conversation" or "Card", type part of the name and pick one. It goes as a PDF, and everyone there can read it. A report that only some people may read has no "Send".
Good to know
- Each row shows the report, target, period, when it was generated and its Trigger: Manual when you pressed Save report, Scheduled when a schedule ran it. A sparkle means it has an AI summary; the first three headline numbers are printed under the title.
- A saved report belongs to the person who saved it. A report made inside an organization opens only while its owner is still a member.
- It is a copy from the day it ran, so it can show data you can no longer see. Delete it if it should not be kept.
- To check a period or a target, just look at the report: it shows at once and keeps nothing until you press "Save report".
- Deleting a saved report asks first. Run the report again to make a new copy.
- An organization may choose how many days its saved reports are kept, on its Data retention page ("Analytics kept reports"). Older ones are then removed for good, except the newest run of each report and the run a schedule last sent.
Deleting changes later comparisons The next run compares with the newest saved run that still exists. Delete last week's run and this week's reads First run; it never reaches back a further week. A schedule loses its Last run link to it.
If something goes wrong
- A run is missing: it was kept in another workspace, deleted, or only looked at, never saved.
- A service account cannot keep a report: run or export it without keeping it.
