Save a view and open the records behind a chart
Keep a report's choices under a name, open it again in one step, and press a bar or point to see the records it counted.
In short
A saved view keeps a report's choices - what it is about, the period, the filters and whether charts show as tables - under a name only you see. Charts lead to their records: press a bar or a point and a sheet lists the records behind it, with "Open" on each one you may open.
Before you start
- Who: anyone who can run the report. A saved view is yours alone, in the workspace you made it in.
- Plan: Analytics is part of every plan, Free included.
- First: open a report and set its target, period and filters.
Steps
- Open a report and set its target, period and filters.
- Open the … menu and choose "Save view", give it a "Name" and save.
- Next time, pick it under "Saved view" on the report, or from "Your saved views" in the catalog.
- Run a report and press a bar or a point of a chart.
- Read "Behind Week of Oct 6": how many were counted and how many you can open.
- Press "Open" on a record.
Result: the view opens the report with every choice in place; the sheet takes you straight to the cards, runs or requests behind a number.
Good to know
- A view never saves a report by itself. It only fills in the choices.
- Views belong to you and the workspace you made them in; you can keep up to 100 per workspace.
- From the keyboard, press "Show as table" on a chart: its "Records" column opens the same records.
- A point names up to 50 records; the count still shows the full number. Records in places you cannot open are counted, never listed.
- Pin a report with the pin beside it in the catalog; "Pinned" and "Recently opened" sit above the categories.
- To undo: delete a view from its menu. A view only fills in choices, so deleting it changes no report and no record.
- On a phone the sheet of records behind a point fills the whole screen.
- In an organization, choose a team under "Who sees it" when you save or rename a view. Your team finds it among their saved views and opens it with their own access; only you change or delete it.
- In an organization, a team's leads (and whoever arranges the teams) pin a report for the team from the … beside a card in the catalog: "Pinned for <team>". The team's people and the leads above it see it first, each opening it with their own rights. A team holds up to 12 pinned reports.
If something goes wrong
- "Nothing here is yours to open." - the records behind the point are in places you cannot open.
- A view opens with a different period: a period that is not one of the picker's choices falls back to the report's own.
