Schedule a report
Run a report daily, weekly or monthly, keep each run and email the headline.
In short
A schedule runs a report daily, weekly or monthly, keeps every run and, if you add recipients, emails the headline and summary. It runs as you and sees only what you could see.
Before you start
- Who: anyone who can run the report. A schedule needs a confirmed email address and runs as you, seeing only what you could see.
- Plan: Analytics is part of every plan, Free included. With the AI summary on, each run uses a little of the AI budget.
- First: pick the report and, if it runs against something, its target. One schedule covers one report and one target.
Create a schedule
- Open Analytics › "Reports", choose "Scheduled" and press "New schedule" - or press "Schedule…" on a report page to start with its report, target and period filled in.
- Choose the report and, if it runs against something, the target.
- Choose the cadence and the time. The time is on your own clock; the dialog shows the UTC time it is sent at.
- Set "Covering the last (days)", 1 to 366. It follows the cadence until you change it: 1 for daily, 7 for weekly, 30 for monthly.
- Add "Recipients": press Enter or a comma after each address, or paste a list. Leave it empty for history only.
- Keep "Include the AI executive summary" on or turn it off, check the name, and press "Save schedule". The row shows its Next run.
Send it to a team, the organization or a role
In an organization, "Who gets it" can add members besides the addresses you type: a team, everyone in the organization, or everyone on one role. Each member gets a copy of their own at the address they confirmed, and can open the kept report from it.
- A team: its members and the leads of its branch may send to it.
- The whole organization or a role: only someone who manages the organization's people may send to it.
- Members who muted Analytics notifications, have no confirmed address or may not see what the report shows are skipped; the schedule says how many.
- A schedule reaches at most 1,000 members. If you lose the right to send to its audience, the schedule pauses and tells you in the inbox.
Pick the day
A weekly schedule runs on the weekday you choose (Monday unless you pick another). A monthly one runs on a day from 1 to 28 or on the last day of the month - a 29th to 31st would skip the months without one.
Open the report from the email
The link in the email opens the kept report for everyone it reached who has an account here and belongs to the organization - you, each member, and anyone you typed whose address is their confirmed one. They can read and download it; only you can delete it.
Also post to Slack, Teams or a webhook
Under "Also post to a channel", tick up to three channels. Each run is posted there with the report's name, its headline numbers and the link to the saved copy.
- Channels are connected once for the whole workspace, in Settings, Webhooks; a schedule only chooses among them.
- A report only some people may see posts its name and the link alone - the numbers stay behind the link, which opens only for people the copy is shared with.
- A channel switched off or removed gets nothing; the schedule's last result says how many channels missed a run.
Good to know
- Each run is saved with the Trigger Scheduled, so comparisons build up without anyone pressing Run.
- The email's subject is [{{brand}}], the schedule name and the report title. The body holds the title, target, period, the summary with highlights and risks, then each headline number with its previous value in brackets. The email links to the kept copy; choose "File with each email" to attach the Excel workbook, the Word document or the PDF document as well. See /help/analytics/print-filter-and-email-a-report.
- People without a {{brand}} login can be recipients.
- A schedule never uses site-admin rights, and it stays on the report it was made for: create a new schedule for another report or target.
- What happens next: each run is saved under "Saved" with the Trigger Scheduled, and the email goes to the recipients. The row shows the next and the last run.
- To stop: pause or delete the schedule (see /help/analytics/manage-schedules). Deleting keeps the saved reports.
Recipients get real email with your numbers Anyone you list receives a report built with your access, including people outside your organization. A typo sends your figures to a stranger. With the AI summary on, every run also sends the report to the AI model.
If something goes wrong
- "Confirm your email address before a schedule emails anyone": open the confirmation link, or send a new one from Settings › Profile.
- "'name@' is not an email address.": fix the recipient.
- "A schedule cannot be pointed at a different report. Create a new one instead."
- No email ever arrives: the site may have no outgoing email provider; ask your site admin.
