Share a project in your personal workspace
Give people a project or folder of your own by email address, and see how a folder passes access to everything below it.
In short
In your Personal Workspace, a project or folder is yours, and you share it with people by email address at View, Comment, Run or Edit. A share on a folder counts on everything inside it. Nobody but you can manage it.
Before you start
- Who: you own the project or folder; nobody else can manage it. The people you share with can be given View, Comment, Run or Edit.
- Plan: every plan.
- First: the other person needs an account with a confirmed email address, or you send them the link the dialog shows.
Steps
- Select the project or folder and press "Share".
- Type the person's email address and choose "View", "Comment", "Run" or "Edit".
- Press "Share".
Result: an account that confirmed that address gets it at once. For an address with no confirmed account yet, the dialog shows a link instead - nothing is emailed. Copy it and send it yourself.
Folders count on everything below them
When a person holds several shares that reach one project, the best level wins: a lower share closer to the project never takes away what a folder above gives.
- Folder Customers is shared with Sam at "Run". Every project below it is open to Sam at "Run".
- Project Billing, inside it, is shared with Sam at "Edit". Sam can edit Billing and run everything else.
- A share at "View" on another project inside does not lower Sam there: "Run" from the folder still counts.
- Moving a project out of Customers takes away what the folder gave; moving one in adds it.
Good to know
- A personal project is shared by name - never with a team, a role or an organization.
- As the owner, the dialog lists every share that counts: "Shared on this project", and "From folders above", each saying which folder.
- Someone it is shared with sees "Shared with you" by the owner, their own level and the folders above by name only, and can "Leave". They cannot share it on or delete it.
- A link works until the date shown, for an account with that address. "Links that wait for their address" lists them, with "Revoke".
If something goes wrong
- The person does not see the project: their account has not confirmed that address. Send them the link the dialog shows.
- Someone has more access than you set on a project: a folder above gives it. Change the folder's share.
- "No active account has that email. Ask the person to register first." and "That account has not confirmed its email address yet. Invite the address instead - the link works once it is confirmed."
- "This account owns the resource.": you cannot share it with its owner.
