Create a board and add cards
Create a board where you are working, add cards to its columns and move them.
In short
A board is a set of columns holding cards. A card is one piece of work, such as a task, a bug or a story, and you drag it from column to column as the work moves forward. Create a board in the workspace it belongs to, add cards, and everyone who can open the board sees each move at once.
Before you start
- Who: In your Personal Workspace you do everything on your own boards. In an organization your role sets the most you may do: "See boards" reads, "Change cards" works on cards and "Create and manage boards" manages. A Member holds "Change cards", a Viewer only "See boards", and an Organization Admin or Manager can manage boards.
- Plan: Boards is part of every plan, Free included. Plan & usage shows how many boards and cards your workspace may hold. An archived board or card no longer counts.
- First: choose the workspace the board belongs in. A board is made in the workspace you are working in, and it can be moved later (see /help/boards/move-and-archive).
- A read-only member (a Viewer, or a share at View or Comment) can open the board and its cards but cannot add or move a card.
Create a board
- Switch to the workspace the board belongs in: your Personal Workspace or an organization.
- Open Boards. With no board yet, press "Make my first board" for a board with example cards you can drag at once, or "Start from a template". Otherwise choose "New board".
- Type a name of up to 200 characters, then answer "What will you track?": Tasks, A software product, Bugs and requests, Marketing or Sales. Each picks a starting layout; a software product or a bugs board also keeps the API Tester, UI Tester and Designer tabs on its cards.
- For any other layout, open "All layouts" (or choose "Something else"). Everyday holds Simple tasks and Personal to-do. Software holds Software delivery, Bug tracking, IT requests, Sprint board, Release checklist and Product board. Business holds Marketing campaigns, Sales pipeline, Content calendar and Employee onboarding. A preview shows what the chosen one makes: its columns with example cards, and the fields every card gets. In an organization, its own templates are under "Your organization".
- The line under it says where the board goes and who it will be open to; press "Change" to choose who sees it. "More options" holds the example cards (on by default), a description and what the board is for. Then choose "Create board".
- To start from a board you already have, open it and choose … › More › "Duplicate board…". The new board gets the same workflows and columns (with their limits, done marks and approvals), card types, fields, card templates and progress and estimate settings, in the same workspace; the cards, rules, sharing, guests, connections, repositories, mail, forms and saved views stay behind. You need to be one of the organization's own people who may make boards there. A hiring board, a product board and a legacy project board cannot be duplicated.
- To give everyone in your organization the same columns, open a board you manage and choose … › More › "Save as template…". Its workflows and columns (with their limits, done marks and approvals) and its card types are saved; the cards, fields, rules and sharing are not. New boards of the organization then offer it under "Your organization" in the layout picker, and a board made from it starts without example cards. You need to manage Boards in the organization; "Manage templates…" there renames or deletes one, and boards already made from it keep their columns.
Add and move cards
- Choose + in the head of a column, beside its … menu.
- Type a title of up to 300 characters and press Enter. The box stays open for the next card.
- Drag a card to another column, or to a new place in the same column, and release. Without dragging, use the card's … menu: "Move to", "Move to top" or "Move to bottom".
Result: the board opens with the layout's columns and card types, you manage it, and each move saves at once for everyone who has the board open.
Good to know
- A new card lands at the top of the column with the default card type and Medium priority. Open it to fill in the rest. "Add card" in the title row (or its keyboard shortcut) puts the card at the top of the column you choose.
- Before you create a board, the dialog says who it will be open to. In your Personal Workspace, that is only you. In an organization, a board filed under a team is open to that team (or what the team's defaults say). A board filed under no team is open to everyone in the organization. Change it any time with "Share".
- On a personal board you can do everything, and nobody else can see it. On an organization board your role is the most you may do. See boards reads, Change cards works on cards, and Create and manage boards manages. The board decides who it is open to.
- The Share button names who can see the board, for example "Share · Team", "Share · Private" or "Share · 3 people" (on a phone just "Share"). Someone who cannot share sees a longer line instead, such as "Visible to the Payments team - you can edit".
- A move changes only the card's tag in that column's category. See /help/boards/columns-and-workflows.
- Plan limits: Free allows 10 boards and 500 cards in a workspace; Pro 10,000 cards and Business 100,000, both with no limit on boards. Archiving a board frees its place.
- Other modules can put work on a board too. See /help/boards/connections-and-hiring-boards.
- "More ways to start" under the first-board screen holds a board just for you, a software team, a business team, examples, and bringing cards from Trello, Jira or a spreadsheet.
- What happens next: the new board opens at once and you manage it. It shows in your Boards list. In an organization, the people it is open to find it there too.
- To undo: archive the board from its … menu and restore it from "Archived boards…" on the Boards list. A card is archived the same way. Nothing is deleted from these screens.
- On a new board a three-step guide sits beside the columns.
- On a phone one column fills the screen and its header switches between columns; search is an icon that opens the field, and "Due this week" waits in "Filters". On a tablet the Layout button shows only its icon.
If something goes wrong
- "You can view this board but not change its cards. Ask an organization admin for a role that can.": your role only reads boards.
- "A board needs a name of 200 characters or fewer." Shorten the name.
- A plan limit message: you reached your plan's boards or cards. Archive a board you no longer use, or change the plan.
- "Another board was being created here at the same moment. Try again.": press "Create board" again.
