Card templates and cards that come back
Save the cards you make again and again as templates, and let the board add routine cards by itself every day, week or month.
In short
A card template holds what a kind of card always starts with - type, title, description, checklist and field values. The board itself adds a recurring card every day, week or month, optionally from a template.
Before you start
- Who: only people who manage the board add or change templates and recurring cards. Anyone who can add cards uses a template under "Start from".
- Plan: every plan. Recurring cards count toward the plan's card limit.
- First: decide the column. A deleted column switches the recurring card off.
Steps
- Open Board settings and go to "Templates" ("Which cards do you make again and again?").
- Add a template: give it a name, choose the card type, and fill in what its cards should start with.
- When you add a card with "Add card", choose the template under "Start from".
- Open Board settings and go to "Recurring" ("Which cards come back on their own?").
- Add a recurring card: its title, the column it lands in, and how often: every day, on chosen days of the week, or on a day of the month. Every 2 weeks or every 3 months works too.
- Optionally choose a template, an owner, and a due date some days after the card is made.
- Press "Save". The list shows when the next card will be made.
Result: the card is made at the hour you choose, in your time zone.
Good to know
- Only people who manage the board can add or change templates and recurring cards.
- A board holds up to 20 templates with up to 30 checklist steps each, and up to 20 recurring cards.
- Changing a template does not change cards already made from it. The card leaves out a field that no longer exists on the board.
- A change to or from summer time never skips a day or makes two. If the service was unavailable for some days, the board makes one card when it is back. Day 31 means the last day in shorter months.
- Recurring cards count toward the plan's card limit. When the limit is reached no card is made, the board tells the person who set it up, once, and it tries again the next time it is due.
- Switch a recurring card off to pause it; nothing is made for the days it was off.
- A recurring card adds its cards in the name of one person, shown as "Runs as" - whoever saved it last. When that person can no longer add cards, it is paused; anyone who manages the board and can add cards selects "Take over".
- What happens next: each card appears at the hour you chose, in your time zone. Switching a recurring card off keeps it, and nothing is made while it is off.
- Each recurring card lists its next five times under "Next 5 times" in Settings › Recurring cards.
- To skip one time - a holiday, a week off - choose "Skip the next card" in the card's … menu. Nothing is added that time and the card comes back on the time after; it stays on. Until the skipped time comes, "Bring it back" (or Undo on the message) puts it back.
If something goes wrong
- Nothing was made: the card limit is reached, the person it runs as is suspended or can no longer change the board's cards, or the organization is frozen.
- The recurring card says it is switched off: its column was deleted. Choose another column to switch it back on.
- "A board holds at most 20 recurring cards." / "A board holds at most 20 card templates."
