Add your own fields to cards
Track what your team needs on every card, such as a customer, a severity or a link to the spec, then filter, sort and automate with it.
In short
A field is an extra property every card on one board can have, such as a Customer, a Severity or a Link to spec. Each field has a kind that decides what can be typed or picked. Fields can show on the card face, and you can filter, sort, bulk-set and automate with them.
Before you start
- Who: adding, renaming and deleting fields needs "Create and manage boards". Setting a field's value on a card needs "Change cards".
- Plan: every plan. A board holds up to 30 fields.
- First: decide the kind. It cannot be changed later.
Steps
- Open Board settings, then "Card types" ("What does a card hold?"). Only people who manage the board see the buttons.
- Choose "Add a field", or "Add" on a suggestion: Customer, Severity or Link to spec.
- Give it a "Name" and a "Kind". For a choice field, add its "Choices" in the order people should pick from; each can have a color.
- For a "Formula" field, write the sum over the board's number fields, each in braces - press a field under the box to insert it: {Effort} * {Impact}. Numbers, + - * /, brackets, and round, min, max and abs work.
- Turn on "Show on the card" to put it on the card face and in the List as a column.
- Press "Add field".
- Open a card and find the "Fields" group.
- Pick, type or tick a value. It saves at once, and the card's History records it, for example Customer: Acme.
- On a board of your organization, open Settings › Fields and press "Organization fields…".
- If you manage Boards in your organization, press "Add an organization field", give it a name and a kind - any kind but a formula - and its choices.
- Save. Every board of your organization gets the field at once, a board made later too. If a board already has another field with that name, or holds 30 fields, it is left out and the dialog says how many.
- To rename the field or change its choices for every board, press the pencil beside it. A renamed choice is renamed on every card.
- On each board the field carries an "Organization field" badge: its managers move it and choose whether cards show it, but only the organization changes its name and choices.
- Press the bin to stop keeping it. Every board keeps its copy, with every card's value, as its own field.
Result: every card on the board can hold the field; "Your own fields" in Board settings shows how many of the 30 are used.
Good to know
- A board holds up to 30 fields. A name is up to 60 characters and is used once. A choice field has 1 to 50 choices. At most 3 fields show on the card face.
- A field keeps its kind for life; for a different kind, add a new field.
- A formula field works itself out on every card and nobody sets it. A card missing one of its numbers, or dividing by zero, shows nothing. Rules, filters, sorting, imports, card templates, forms and shared cards do not use it, and a number field a formula reads cannot be deleted until the formula changes.
- Setting a field needs permission to change cards.
- What happens next: a new field shows in every card's "Fields" group at once, and each value you set is recorded in the card's History.
Deleting a field Delete removes the field's value from every card, and the List loses its column. Rules that set the field or react to it stop working until you change them. A card's History keeps the old values. Renaming a choice keeps every card that picked it; removing a choice takes it off the cards that picked it.
Use fields to find, sort and automate
- Filter: in "Filters", choose the field and either holding a value, containing some words or ticked. Cards without a value are left out.
- Sort: the fields that show on the card are columns in the List, and you can sort by them.
- Set many at once: tick cards in the List and choose "Set a field". Leave the value empty to clear it on every selected card.
- Export: the board's Excel and Word report has one column per field.
- Templates: a board made from a template comes with the fields that template carries.
- Rules: a rule can set a field and can run when a field changes, or changes to one value. See /help/boards/board-rules.
- Imports: a spreadsheet column can be read into a field. See /help/boards/import-cards.
If something goes wrong
- "A board holds at most 30 fields.": delete a field you no longer use.
- "This board already has a field by that name.": choose another name.
- "At most 3 fields show on the card face.": turn "Show on the card" off on another field first.
- A value is refused, for example "takes a web address starting with http:// or https://": type it in the form the kind asks for.
- "Choose what kind of field it is.": pick a kind before you press "Add field".
- "A choice field has between 1 and 50 choices." or "Each choice has its own label.": give a choice field 1 to 50 choices, each with a different label.
- "The choices are too long altogether; shorten some labels."
- A value of the wrong form is refused, for example with "takes a number." or "takes a day as yyyy-MM-dd.". Type the value the way the kind asks for it.
