Find and filter cards

Search a board, narrow it with filters, save a view, find your own work and share a card.

In short

Every board has a search box and, from 20 cards, three quick filters - Mine, Overdue and Due this week - with every other filter under "Filters". Save what you set as a view to come back to it. "My work" collects every card assigned to you, and "Share by link" shows one card to someone outside.

Before you start

Steps

  1. In the tools row under the board's name, type in the search box (or press /). It narrows the board to cards whose title or description contains what you typed.
  2. Press a quick filter: "Mine", "Overdue" or "Due this week". They appear once the board holds 20 cards, or as soon as a filter is on.
  3. Open "Filters" for the rest. Every choice applies at once; "Show N cards" closes the sheet.
  4. In Person, Card type, Priority and Label you can choose several: the board shows cards with any of them. Under "Match", choose "Any filter" to see cards that meet at least one of your filters instead of all of them; the search always narrows.
  5. Remove one filter with the x on its chip, or all with "Clear".
  1. Set the search, filters, columns and layout you want.
  2. Press "Save as view" in the tools row, or in the footer of "Filters".
  3. Name it. If you manage the board, you can tick "Share with board members"; otherwise it is yours alone.
  4. Pick it from "Saved views" at the top of "Filters" any time.
  1. Choose "List" in the layout menu.
  2. Press "Columns" and untick the columns you do not need - Labels among them. The title always shows.
  3. Press "Group by" and choose Column, Priority, Owner or Type. Each group has its own heading and count.
  4. Choose "Parent (tree)" under "Group by" to see every card under its parent - epics, features and their tasks. Press the arrow beside a card to fold the cards under it, or "Open all" and "Close all". A parent that does not match your filters still shows, quieter, so each card stays in its place.
  5. Change a card's column, priority, owner or due day in its cell. Save the list as a view to keep its columns and grouping.
  1. Open "Filters" and pick the view, or "All cards".
  2. Press "Open the board with it". The board now opens that way for you; the list says "opens the board" beside it.
  3. If you manage the board, press "Open it for everyone" on a shared view or on "All cards". Everyone who has not chosen their own opens the board with it.
  4. To follow the managers' choice again, press "Use the board's choice".

Result: each column counts the cards shown, such as 1 of 3, and the view comes back with one press.

My work

The "My work" tab on the Boards list shows every card assigned to you or also given to you ("Also on it"), and every card on your personal boards, across every board you can open. The order is overdue first, then due this week, later and without a date. Search it, narrow it with Due, and tick "Show finished" to see done cards. The Boards list's … menu offers "Show boards from my organizations", "Include subteams", "Archived boards" and "Closed boards", and "Download" with Excel and PDF of the list. My work has a "Download" menu too.

All cards

The "All cards" tab on the Boards list is one table of the cards on every board you can open in this workspace. Pick a team in the team tree and it shows only the boards filed under that team (and the teams below it while "Show all levels" is on). The most pressing cards come first: unfinished before finished, then by due day. Press a column header to sort by title, board, priority, due day or last change; press it again to reverse, and a third time to go back.

Search by title, board name or a whole card key such as PAY-12. "Mine", "Overdue" and "Blocked" narrow it in one press; Boards, People, Priority and Due narrow it further, and each matches any one of the values you pick. Tick "Show finished" to see done cards. A card is "Blocked" only when an unfinished card on a board you can open blocks it. A row opens the card over its board. "Download" gives Excel or PDF of exactly what the table shows, up to 5,000 cards.

Beside "Show finished", choose "Table", "Timeline" or "Calendar"; the same search and filters apply to all three. "Timeline" puts the cards on bars grouped by board (see /help/boards/board-timeline). "Calendar" is the team calendar: a month with the cards due on each day across the boards - pick a team in the team tree for that team's boards - and, with "Planner items" ticked, your own Planner items of those days beside them (the calendars of your organization you can open in the Planner). A card opens over its board and a Planner item opens in the Planner. Without the Planner on your plan, "Planner items" is not offered.

Share a card

"Copy link" in an open card copies its address. Whoever can open the board lands on the card; anyone else is told why. Search anywhere (Ctrl+K, or ⌘K on a Mac) also finds boards by name and cards by title in the workspace you are in.

  1. In the open card, choose "Share by link".
  2. Under "What the page shows", tick what to show beside the title. You can show the description, checklist, type, priority, where it stands, dates, estimate, story and acceptance criteria, the card key, the board's name, and fields you choose.
  3. Choose "Ends after", from 1 to 30 days, and a password if you like (8 to 128 characters).
  4. Press "Make the link" and copy it now - it is shown this once.
