Collect requests with a form
Give a board a form: every answer becomes a card in the column you choose. Share it with your workspace or with anyone by a link.
In short
A form asks a few questions - always a title, plus what you choose - and every answer becomes a card in one column. Share it with your workspace, or with anyone by a public link, without an account.
Before you start
- Who: only people who manage the board add or change forms. A person filling in a public form needs no account.
- Plan: every plan. Each answer is a card and counts toward the plan's card limit.
- First: choose the column the cards land in, and whether the form is for your workspace or for anyone with the link.
Steps
- Open Board settings › "Connections" and press "Set up" on "Forms".
- Select "Add a form". Give it a name and a short introduction, and choose the column its cards land in.
- Under "Questions" tick what the form asks, whether each must be answered, and your own wording if you want one.
- Under "Who can fill it in" choose "People in this workspace" or "Anyone with the link".
- Select "Add form". For a public form, copy its "Public address" and put it where people will find it.
Result: every answer becomes a numbered card, with the card type and the card template you chose.
Good to know
- Only people who manage the board can add or change forms. A board holds up to 10 forms with up to 20 questions each.
- A form can ask for a description, the sender's name and email, and any of the board's own fields except a person field.
- People in your workspace open the form with "Open form", and are not asked for their name: it is recorded.
- The switch beside a form pauses it without deleting it.
- "Make a new address" replaces a public address at once; "Switch the public address off" closes it.
- Ask for an email confirmation to be sure the address is real. The sender gets one email with a link that works once, for 48 hours, and the card is made when they open it.
- A public form takes at most 10 answers a day from one network, 60 an hour and 500 a day in all, and no files.
- A card from a form says so, with who sent it and whether their address was confirmed. It sets off the board's rules and webhooks like any new card.
- The sender's name and email are kept for 180 days and then removed; the card stays.
- On a card that came in by form, mail or a connected tracker, "Suggest type, priority and labels" asks AI for a suggestion from the board's own choices. Nothing changes until you apply it.
- Every public form has a "Report this form" link; moderators can take a form down.
- The Templates gallery has three ready forms - a bug report, a feature request and an IT request. Each makes its board and a working form open to your workspace only; a public link stays your own choice. See /help/home/templates-and-recipes.
- What happens next: every answer becomes a numbered card and sets off the board's rules and webhooks like any new card.
- To stop: use the switch beside the form to pause it, or "Switch the public address off" to close its public address.
If something goes wrong
- The form says it is paused: the person it runs as left, lost the right or was suspended. Anyone who manages the board and can add cards selects "Take over".
- A sender is asked to try later: the board is at its plan's card limit, the column was deleted, or the form is paused. They are told nothing about your board.
- A public form stays closed: moderators took it down; its address stays closed until they restore it.
