Order rules and see what they did
Know how rules run in order and chain, read a rule's recent runs and fix one that cannot run.
In short
Rules run top to bottom, and a change one rule makes can set off others. Each rule keeps its recent runs - applied, skipped or could not run, and why - so you can see what it did and fix one that stopped working.
Before you start
- Who: changing the order and editing rules needs "Create and manage boards". Anyone who can open the board reads recent runs.
- Plan: every plan.
- First: make at least one rule (see /help/boards/board-rules).
Steps
- Open Board settings › "Automation". "Custom rules" opens its list.
- Choose "Run earlier" or "Run later" on a rule.
- In the list, read how often each rule applied and how its last run went.
- Open "Recent runs" to see the last 30 times it met a card.
- Edit a rule marked as broken - its column, card type or person is gone.
- In the rule's "..." menu, choose "Try it on the cards". You need "Create and manage boards".
- Read what it would do to each card: "Would change", "Would skip" or "Could not run", with the reason, and what each action would do.
- A rule on the clock, a column or a field is tried on the cards that meet its condition now. Any other rule is tried on the latest changed open cards, as if it set off for each.
- Nothing changes on the board. Save a new rule switched off, try it, then switch it on.
Result: the rules run in the order you set, and you can see why one did or did not act.
Good to know
- A rule sees what the rules above it changed.
- A rule that moves a card sets off the rules for the column it lands in. A chain stops after three steps, and a rule never runs twice on the same card in one chain.
- Recent runs reads "Applied". It may read "Could not run", with the reason, such as a column no longer on the board. Or it may read "Skipped", when the card already looked the way the rule asks or a chain had gone on long enough.
If something goes wrong
- It did not run: it is switched off, the card is not of the type or priority it is for, or the change happened on another board.
- Could not run: the column or the person it names is no longer on this board. Edit the rule.
- Skipped after a repeat: two rules undo each other. Change one.
- Skipped after three steps: let one rule do more instead.
