Send email to a board
A board can have its own email address. Forward a mail to it and it becomes a card, with its attachments.
In short
Switch on mail for a board and it gets its own address. A mail sent to that address becomes a card in the first column, with the mail's files. Your client can send a request this way too.
Before you start
- Who: someone who manages the board switches it on.
- Plan: any plan with Boards. The mail's files count toward your storage.
- First: nothing. If the panel says "Mail to boards is not set up on this installation.", ask your administrator.
Get the board's address
- Open the board, then "Board settings" and "People".
- Under "Email to card", switch on "Take mail".
- Press "Copy address" and keep it in your mail contacts.
Who may send
- By default "The board people, its clients and the addresses below." A teammate's mail becomes their card. A client's mail becomes a client request.
- Choose "Only the addresses below" to take mail only from "Allowed addresses", one per line. Then press "Save".
- Mail from anyone else is dropped. The sender's own mail service must vouch for the address, so a faked sender cannot make cards.
Good to know
- The same mail sent twice makes one card.
- A reply in the same mail thread, from someone who may send, is added to the card the thread made as a comment, with its files. The lines it quotes from earlier mails are left out. A reply from an allowed address names that address in the comment.
- A client's reply is added only to the card of their own request, in the thread they read on their page.
- "Latest mails" shows what arrived and what happened to it: "Became a card", "Added to its thread's card as a comment", or why it was dropped.
- "New address" makes a new address. Mail to the old one stops arriving.
- The mail's text becomes the card's description as plain text. {{brand}} never follows instructions written in a mail.
