Add your own fields to parts and steps
Give parts and steps an owner, tags and properties, and define fields every design of your workspace offers.
In short
Every part and step can carry an owner, tags and properties. Your organization can also define fields that every design offers, such as Data owner, Cost centre or Risk. A field has a type, so people fill it in the same way each time.
Before you start
- Who: defining the workspace's fields needs the right to manage the organization's settings (in a personal workspace, you).
- Plan: Designer is part of every plan, Free included. The Free plan limits how many designs a workspace keeps; Plan & usage shows the limit and what you hold.
- First: decide the field type. Renaming a field later keeps the values.
Steps
- Select a part or step. In the inspector, open "Ownership" and "Details".
- Under "Ownership", choose the "Owning team" or the "Person who owns it", or write an "Other owner" in words ("Owner" in a personal workspace). Under "Details", write "Tags" separated by commas.
- Fill in the workspace's own fields, shown first. For any other property, type a "Property" name, give it a "Value" and press "Add".
- In the "Details" section of the inspector, press "Fields for this workspace…".
- Under "Add a field", type a "Name", choose a "Type" and, for a choice, write its "Choices". Choose where it is "Offered on".
- Press "Add field", then "Done".
Field types
A field is "Offered on" parts and steps, on "Architecture parts" only or on "Workflow steps" only. Tick "Required" and every part or step it is offered on that leaves it empty shows in "Problems".
Good to know
- Everyone sees the fields. Someone who manages the organization's settings adds and removes them. In a personal workspace you do.
- A part holds at most 20 free properties, each with its own name. A workspace holds at most 30 fields, and a choice field at most 30 choices.
- In an organization, a part has one owner: "Owning team" picks a team (its name is written as the owner), "Person who owns it" picks a member, or "Other owner" is plain words, not a sign-in account. Picking one clears the others. Do not write private details in the words.
- Find searches owners, tags and properties. See /help/designer/find-and-change-many-parts.
- Documentation exports end each design with a table "Requirement IDs, tags and properties" for the parts or steps that carry any. See /help/designer/export-a-design.
- Renaming a field keeps every value people already filled in.
- A person picked for a part or a Person field is kept in the design as a key, never as their account or name. Everyone reads the name as it is now, exports print it, and once the person's data is erased the part says "Deleted user" - in every saved version too.
If something goes wrong
- "Name the field first, and give a choice field its choices."
- "Name a new property and give it a value first."
- "The fields could not be loaded." - close the dialog and open it again.
