Email candidates as they move, and close what nobody reviewed
Choose the stages that send candidates a short, kind email, preview the wording, and decide whether applications nobody reviewed close themselves politely.
In short
Candidates should never wonder where they stand. Switch on a stage and every candidate who reaches it gets a short, kind email with a link to their application's status - never your notes, reasons or scores. Polite closing can also close applications nobody looked at, with an honest email.
Before you start
- Who: people who manage hiring change these settings.
- Plan: Jobs is part of every plan, Free included.
- First: decide the stages and the wording. Polite closing stays off unless you choose a number of days.
Steps
- Open Jobs › Hiring › "More" › "Hiring settings" and choose "Candidate emails".
- Switch on "Email when they reach" each stage you want.
- Choose the "Wording": "{{brand}}'s plain wording" or one of your templates. Press "See the email" to preview it.
- Pick a "Language" in the preview to read the email the way a candidate who applied in that language gets it. The plain wording follows the language; your own template is sent as you wrote it.
- Under "Close applications nobody reviewed", keep "Never - a person always decides", or choose after how many days.
- Press "Save".
Result: "Candidate emails saved". The next candidate who reaches a switched-on stage gets the email.
Good to know
- In your own templates, placeholders such as the candidate's name and the role are filled in for each candidate.
- Polite closing is off by default. It closes only applications no person moved, and the email says plainly that nobody reviewed them.
- The email links to the candidate's status page, where they can also correct or delete their data.
Polite closing rejects without review Turn it on only if you accept that some applications end without anyone reading them. The candidate is told so.
If something goes wrong
- A candidate got no email: the stage is not switched on, or they were moved before you switched it on.
