Manage your roles
Read the Hiring screen, close and reopen a role, and set its deadline.
In short
Roles is the recruiter's landing page in Hiring: four numbers on top, the week's interviews, then one card per role. From a role's … menu you edit, close, reopen, publish or duplicate it. Once roles are filed under teams, the Team filter narrows the roles, the numbers, the interviews and the download to one team - or to roles of the whole organization.
Before you start
- Who: In an organization you need "Post and manage vacancies" (an Organization Admin or Manager holds it; a Member or Viewer does not). In your Personal Workspace you hire in your own name and hold all of it. You see the roles of the workspace you are in.
- Plan: Jobs is part of every plan, Free included. Open roles count against your plan, drafts are free and closing a role frees its place (Plan & usage shows the limit).
- First: post a role (see /help/jobs/posting-and-hiring).
Work with a role
- Open Jobs, switch to "Hiring" and choose "Roles". Pick a tab: Open, Drafts, Closed or Needs attention.
- Open a role card to work its pipeline.
- Or open the card's … menu: "Edit role", "Close role", "Reopen role", "Publish role", "Duplicate", "Save as template…", "Open in Boards", "Delete role" or "Follow applications".
Reopen a role after its deadline
- Open the role's … menu and choose "Edit role".
- Move the deadline forward and save.
- Choose "Reopen role".
Close a role and tell the people still waiting
- Open the role's … menu and choose "Close role".
- Read how many people are still waiting to hear: "Nobody is waiting to hear." or "N people are still waiting to hear."
- Choose "Tell them and close" (or "Tell all N and close") to send each of them a short, kind "the position is filled" message and close their applications. Choose "Just close the role" to close it without a message.
Result: the role closes. "N people were told the position is filled" confirms the messages.
- When nobody is waiting, the panel offers "Close the role" alone.
- To have the message sent whenever a role closes on its closing date, switch on "Tell everyone still waiting when a role expires" in Hiring settings. Everyone still waiting then gets the message and their application closes.
- A failed message says "The message could not be sent". Try again.
Good to know
- A role card shows its status, how many applicants sit at Applied, Interview and Offer, a funnel of every stage, and why to open it now.
- The person who posted a role is told about each new application. Anyone else who manages it chooses "Follow applications"; "Stop following" ends it.
- You are also told when a team comment mentions you, when feedback arrives on an interview you organized, and when you are put on an interview.
- The deadline is the end of the chosen day. Once it passes the role leaves Find roles and its public link stops at once; within about fifteen minutes it closes and refuses applications.
- The … menu of the Roles screen holds "Hiring settings" and "Download" (Excel or PDF of the roles). With nothing posted yet, the screen offers "Post your first role", "See a sample pipeline", "Use a template" and "Hire with a team".
- What happens next: closing a role stops applications; candidates already in the pipeline stay there. Reopening a role whose deadline has passed needs the deadline moved forward first.
- The roles show as cards; "Table" beside the search shows them as a table you can sort by any column. Your choice stays in the address, so a link keeps it.
- Tick roles to act on several at once: "Close roles" closes them after you confirm (a role you no longer manage is named, not closed), and "Download selected" gives the Excel or PDF of those roles only - up to 50 at a time.
If something goes wrong
- "This vacancy's closing date has passed - move it forward before reopening."
- "The platform's moderators took this role down, so it can't be reopened."
