Message candidates
Email a candidate from the pipeline, alone or with a move, using your team's templates.
In short
Email a candidate from the applicant sheet, alone or together with a move such as a rejection. Your team keeps its own message templates with placeholders for the candidate's name and the role.
Before you start
- Who: the people who manage hiring write and send. Placeholders such as {candidateName} are filled in for each candidate.
- Plan: Jobs is part of every plan, Free included.
- First: the candidate needs a confirmed email address to be emailed; otherwise the message waits on their application.
Send a message
- Open the applicant and choose "Email a message" from the sheet's … menu.
- Pick a template or write the message. Give it a subject.
- Preview the candidate's copy, then send.
- The message is kept on their application, marked whether it was emailed.
Keep your team's templates
- Open Jobs › "Hiring" › "More" › "Hiring settings" and, on "How you hire", press "Message templates…".
- Press "Copy and edit" on a built-in template (updates, offers, rejections, interview invitations), or write your own.
- Use placeholders in braces, then save.
- In an organization, choose a "Team" to make it that team's template: it is offered first on the team's roles and not on other teams' roles. "Whole organization" offers it everywhere.
Good to know
- Rejecting someone can carry a message in the same step, for one applicant or many. Stages can send their own emails when the workspace turns that on.
- A candidate can get 10 messages from your team in a day. A message is under 5,000 characters.
- People who manage hiring in the workspace change its templates. A workspace keeps a limited number; delete one you no longer use.
If something goes wrong
- "Not emailed: no confirmed address": the candidate has no confirmed email. The message waits on their application.
- "{name} isn't a placeholder.": any other word in braces is refused, so no stray placeholder goes out. Use one from the table.
- "Give the message a subject." / "Write the message."
- A failing mail server is tried again for a few hours.
