Make an offer
Write an offer in your own words, send it to the candidate - or to an approver first - and see their answer.
In short
An offer is the terms of the job in your team's own words, with the pay and the start date if you want them. You send it from the applicant's card, and the candidate accepts or declines it in the app or by an emailed link. When your organization asks for it, a second person approves the offer before it goes out.
Before you start
- Who: only people who manage the role make offers. Approvers are other members of the organization, who need not hire.
- Plan: Jobs is part of every plan, Free included. Offers use no AI.
- First: decide the terms. Only a draft can be changed.
Send an offer
- Open the role in Jobs › "Hiring" and find the applicant.
- Press "Send offer" - the card's main button once the team has decided - or pick it under "More". Moving the applicant to Offer opens the same form.
- Optionally pick a template under "Start from a template": it fills the terms, currency, pay period and answer time. "Undo" in the message puts back what you had.
- Write the "Terms": what you offer, as the candidate will read it.
- Optionally fill in "Pay", "Currency", "Paid per" and "Start date".
- Choose "Answer within": 3, 5, 7 or 14 days (7 by default).
- If your organization approves offers, add "Approvers" in the order they decide - up to four members of the organization other than you. The arrows change the order.
- Press "Send offer", or "Send for approval" when an approver decides first. "Save draft" keeps it without sending. The card then shows "Offer sent" or "Offer waiting for approval".
Answer an offer (for candidates)
- Open the email's "Open your offer", or Jobs › "Find work" › "Applications" › "Waiting for your answer" › "Answer your offer".
- Read the terms, the pay, the start date and "Answer by".
- Add "A note to the team" if you like.
- Press "Accept the offer", or "Decline" and then "Decline the offer". Your answer is final, and the team is told.
Good to know
- Accepting does not hire anyone: the team marks the applicant hired itself. An accepted start date stays with the application.
- An applicant has one offer at a time. Only a draft can be changed - to change a sent offer, withdraw it and start again.
- To take an offer back, open the applicant and press "Withdraw offer" on it. The candidate is told and can no longer accept it.
- Rejecting the application, or the candidate withdrawing, closes an offer nobody answered. After the "Answer by" date the candidate can no longer answer.
- Whoever drafted the offer, and its approvers who hire for the role, hear the answer in their inbox. An offer sent back by its approver opens again as a draft with their note.
- Only people who manage the role make offers. Offers use no AI.
- Offer templates live in Hiring settings › "Offers". The people who manage hiring add, edit and delete them, or press "Save as template" while writing an offer. Everyone who may post roles can start from them.
- A template never keeps a candidate's pay amount or start date - only the wording, currency, pay period and answer time. Changing or deleting a template leaves offers already written as they are.
If something goes wrong
- "Write the terms of the offer" - the terms are required, up to 4,000 characters.
- "This candidate already has an offer - change or withdraw it first."
- "Only a draft offer can be changed - withdraw this one and start again."
- "This organization approves offers before they go - choose who approves this one." / "Someone other than you has to approve this offer."
- For candidates: "The time to answer this offer has passed." - contact the organization if you still want it.
