Review the applicants for a role
Read an applicant's card and sheet, shortlist, keep private notes, comment with your team and find people.
In short
A role's pipeline shows one card per applicant. Open one and their record opens: Details holds their application, profile, resume summary, screening, assessments, interviews and offer beside their facts; Messages, Related, Activity and Comments are its tabs. Pin a shortlist, keep private notes and talk with your team in comments.
Before you start
- Who: In an organization you need "Post and manage vacancies" (an Organization Admin or Manager holds it; a Member or Viewer does not). In your Personal Workspace you hire in your own name and hold all of it. A pin and a private note are yours alone.
- Plan: Jobs is part of every plan, Free included.
- First: a role with at least one application.
Review an applicant
- Open Jobs › "Hiring" › "Roles" and open the role.
- Order applicants "As they came" or "Verified skills first", search by name, or show only the pinned. On a phone or tablet these sit in one "View" menu.
- Open an applicant's card. Their record opens, with their stage and the next step at the top.
- On "Details" read the application, the profile, the resume summary and the interviews with feedback; the column beside it shows their stage, role, when they applied, how they found the role and their resume.
- Use the tabs for "Messages" sent to them, "Related" (their other applications and linked work), "Activity" (the timeline) and "Comments".
- Pin them, write a private note, or comment for the team. Type @ to name a teammate.
Add candidates you already have
- Open an open role in Jobs › "Hiring" and press "Add candidates". On a role with nobody yet it reads "Add candidates you already have".
- For each person, give the "Email" and "Name". A "Headline", a "Location" and a "CV" (PDF, DOCX or plain text, under 10 MB) are optional.
- Press "Add another" for more, up to 50 at a time and 10 of them with a CV.
- Have a list? Press "Import from CSV" and choose a file whose header row names an "Email" column and a "Name" column (or first and last name). Headline and location are read too.
- The list is checked at once. A row that would be refused is marked with the reason - already a candidate, already applied, listed twice, not a valid address, or asked not to get emails. Press "Remove" on the warning to drop them, or correct a row and press "Check for duplicates".
- Press "Add candidate", or "Add" and the number "candidates". The list is checked again first if it changed.
Result: each person is told at once by email that your organization holds their details for this role and how to see, correct or delete them. They need no account. They show in the pipeline as added by the hiring team.
- Candidates can be added to an open role only. A workspace can add up to 100 candidates a day.
- The dialog refuses an email that is not valid or is listed twice. It also refuses one that already applied or is already a candidate for the role. A CV must be a real PDF, DOCX or plain text file.
- The CV copies you add do not count toward your storage.
What a card shows
- Name and headline, days waiting in the stage, verified skills, how many of the role's skills they match, planned interviews.
- +N roles when they applied to other roles in your workspace too; the sheet lists those under Also applied to. Nothing outside your workspace is shown.
- Ordered by "Verified", each card also shows its verified total, the number the column is ordered by.
Good to know
- A pin and a private note are yours alone. Team comments are for your team, never the candidate; only the author can change or remove one, and a changed comment shows "Edited" with the words it replaced.
- Typing @ in a comment names a teammate, or an interviewer on the candidate's panel. An interviewer who does not hire for the role reads only the comments naming them, on their interview page.
- The sheet's … menu holds "Email a message", Message (a chat with the candidate), the CV, the pin and "Erase candidate data".
- Search (Ctrl+K, or ⌘K on a Mac) finds your roles by title and applicants by name, only on roles you hire for in this workspace. An erased applicant is never named or found.
- "Export to Word" in the sheet's header saves the candidate's page as a Word document. It holds the same parts in the same order, the CV summary labelled as written by AI from the CV, and feedback only as you may see it.
- On a phone each part of the sheet folds to its heading, and the part a next step is about opens by itself.
- Each stage brings its first 50 applicants, pinned ones first; its count is always the whole stage. "Show more" at the bottom of a stage brings 50 more, up to 500 - search to narrow a bigger stage. The search looks at names, headlines, locations and skills.
- Views, beside the search, keeps the search, the Pinned filter and the order as a named view; share one with your organization or open the pipeline with it.
- If someone else moved an applicant while you were looking, your move is refused and the board reloads, so you never overwrite their move; move the card again if you still want to.
If something goes wrong
- "Only the person who wrote a comment can remove it."
- An applicant is missing from search: they applied in another workspace, or their data was erased.
