Search and filter notes
Find a note by words in its title or text, and narrow by tag, editor, date or archive.
In short
Search finds notes whose title or text contains your words, in every notebook you can open. Filters narrow the list by who edited, when, tags and archive.
Before you start
- Who: anyone with Notes on. Search covers only notebooks you can open.
- Plan: every plan.
- First: nothing.
Steps
- Type in "Search all notes" (or press /).
- With a notebook open, choose the "Only in" chip to search just that notebook.
- Press "Filters" to narrow the list: Edited by someone, Last 30 days, and "Include archived" inside a notebook. A tag in the rail filters too.
- "Clear all" removes the filters; … › "Reset view" clears the search as well.
Save a view, change the order, and change many notes at once
- Above the list, the view button shows All notes or the view you opened. Set the notebook, search, filters and order you want, then choose Save as view. Your views are yours unless you share one with your workspace.
- The order button sorts by last edited (the default, pinned notes first), newest, oldest or title.
- Press the table button to see the notes as a table across the screen. Press a column heading to sort by it. Press a row for a quick look at the note beside the table: its first lines, notebook, tags, links and who edited it last. Pin it, add it to favorites or archive it from there, step to the next note with J and K, or choose Open to edit it beside the list.
- In the table, tick several notes to move them to another notebook, add a tag, archive them or delete them together. Each note is checked on its own: the message says how many changed and why any did not. Deleting offers Undo.
Good to know
- Notes from the active workspace also appear in the command palette's search.
- Ask AI answers from the note you have open and from notes you can open whose words match your question - never from a notebook you cannot open.
If something goes wrong
- A note is missing: it is archived (tick Include archived), in another workspace, or in a notebook you cannot open.
