Add tags and files to a note
Tag a note to find it later, and attach files others can download.
In short
Tag a note to find it again from the rail, and attach files that everyone who can read the note can download.
Before you start
- Who: tagging and attaching need Edit on the notebook. In an organization's notebook a new tag belongs to the organization, so it needs Write team notes.
- Plan: files count toward your workspace's storage and must fit the plan's largest-file limit (Plan & usage shows both).
- First: open the note.
Add a tag
- Open the note and type in "Add a tag…".
- Pick a tag, or choose "Create #name" for a new one.
- Press a tag in the rail to list the notes that carry it.
Attach a file
- Press "Show details" on the note, then "Files".
- Press "Attach a file" and pick it.
- To take it off, press "Remove" and confirm. The file is deleted for good.
Look at a file without downloading it
- Press a file's name in the Files tab. Pictures and short text files open in a preview; a PDF opens in your browser's own viewer in a new tab.
- Small pictures show as thumbnails in the list.
- Other kinds of file download when you press them. The download button beside each file always saves it.
Rename, color, merge or delete a tag
- Press the tag in the rail, so the list shows its notes.
- Open … in the title row. The tag's actions are at the end.
- Choose "Rename tag", "Tag color", "Merge into" (pick the tag to keep) or "Delete tag".
- Your own tags are yours to manage. An organization's tag can be managed by whoever may make the organization's tags.
- Merging moves the tag's notes to the tag you keep, once each, and removes the first tag.
- Deleting a tag takes it off every note; the notes stay. It asks first, because it cannot be undone.
Good to know
- In an organization's notebook a new tag belongs to the organization, so it needs Write team notes.
- Files count toward your workspace's storage in Plan & usage. A file can be as large as your plan's largest file: 10 MB on Free, 100 MB on Pro, Business and Enterprise. On Free, the files of a workspace nobody signs in to for 12 months are deleted after two warning emails.
If something goes wrong
- "A tag named … already exists.": pick the existing tag.
- "An attachment can be at most …": choose a smaller file.
- "Switch into an organization to create a tag for it."
