Overview, departments, invites from a file and activity search
See what needs you on the Overview, make a team someone's department, invite many people from a CSV file with each one's role, team and profile, select every matching member at once, keep filters as a view, and search the activity log.
In short
A member's department is a team of your organization's tree, so it always matches how the company is arranged. People can be invited from a file where each row has its own role, team, title, department and manager. On the Members tab you can select every member the filters match, not only one page, and keep the filters you use as a saved view. The Activity log can be searched by a name, a team or a value, and narrowed to what happened to one person.
Before you start
- Who: everyone can set their own department. Inviting, selecting members for a bulk change and changing someone else's profile need "Invite and manage members". Reading the Activity log needs the right to manage the organization's settings.
- A team hidden from the organization is never offered as a department, and a department whose team is later hidden or deleted shows as none.
See what needs you
- Open the organization and choose "Overview". It is there for people who manage members.
- Each tile counts one thing now: members against your plan, people paused or not seen for 30 days, invitations and join requests waiting, teams with no lead or nobody in them, and members with no department or manager.
- Choose the link on a tile to open the list it is about.
- If you also manage the settings, the newest activity is listed below the tiles.
Set a department
- Open the organization and choose "Members".
- Press the member's row and change it under "Profile" in their card; it saves itself.
- In "Department", pick a team. Teams are named by their place in the tree, such as Engineering / Platform.
- The change saves itself; to remove it, choose "No department". Choose "Done" to close.
Invite people from a file
- Choose "Invite", then "Import from a file".
- Choose "Download a template" to get a file with the right columns: email, role, team, title, department and manager (their email). Only email is needed.
- Fill one row per person and save the file as CSV (UTF-8). Write teams and departments as their path, such as Engineering / Platform.
- Choose the file. Every row is listed with anything wrong with it, such as a role or team that does not exist; those rows are not sent.
- Choose "Invite". Each person gets an emailed link; their title, department and manager are set when they accept, as long as they still hold then.
If your identity provider sends people over SCIM, their title and the Enterprise User department and manager are set the same way: the department is the one team with that name, and the manager must be another provisioned member.
Change many members at once
- On the Members tab, narrow the list with the search and filters.
- Tick the box in the table's header to select the page.
- Choose "Select all matching members" in the line above the table. Up to 200 people can be changed at once; with more, narrow the filters first.
- Pick the change from the bar at the bottom, such as adding them to a team or changing their role.
- Set the search and filters you use often.
- Open the views menu beside the filters, choose "Save view" and give it a name.
- Pick the view from the same menu to bring the filters back. A view can also be shared and opened as a link.
Search the activity log
- Open the organization's "Activity" tab.
- Type a name, a team or a value in "Search activity". Only what you can see is searched: a team hidden from you finds nothing.
- Use "About" to keep only what happened to one person, and "By" for what one person did.
- Choose "Export" to download what the filters show.
