Invite people
Invite by account, by email or in bulk, with the role and team they receive.
In short
Invite people brings colleagues into the organization with a role and a team. Type a name to find an existing account, or type email addresses - one or up to 200 at once - in the one box. The role and team apply the moment they accept. Access ends on and Import from a file wait under "More options".
Before you start
- Who: you need "Invite and manage members" (an Organization Admin holds it). A team's lead or deputy without it can invite the organization's members into the teams of their branch.
- Plan: Organizations is part of every plan, Free included. Your plan sets how many members and teams an organization may hold (Plan & usage shows them). Pending invitations hold no seat; accepted members do.
- First: make the organization your workspace, and decide the role and the team the person should get.
Steps
- Make the organization your workspace and choose "Invite people" in the header.
- Under "People", search for an existing account, or type addresses under "Email addresses".
- Choose the "Role". The first option is the organization's default, and the sentence under the picker says what the chosen role allows.
- Choose the "Team" they land in, if you may arrange teams. The first option is the default team.
- For a contractor or anyone who should work here for a while, set "Access ends on".
- Choose "Send".
Result: a message reports how many were emailed, invited in the app or skipped, and the dialog lists the reason for each skip.
Good to know
- You need the Invite and manage members permission. A team's lead or deputy without it can invite the organization's members into the teams of their branch.
- Administrators can give any role; everyone else only their own or a lower built-in role.
- Search starts at two characters and shows up to six matches. Names match on any part; an email address matches only when typed in full. People who are already members, or have a pending or declined invitation, are left out - type their address instead.
- One picked account, or one typed address whose account has a confirmed email, gets an in-app invitation. Every other address gets a single-use link by email, valid for seven days, which the person opens, signs in with that address and accepts.
- Paste up to 200 addresses separated by commas, semicolons, spaces or new lines, with one role and team for the group. Addresses that look wrong are flagged before sending.
- Pending email invitations show in Members with their role and team. "Resend" replaces the link and extends it seven days; "Revoke" stops it.
- Pending invitations hold no seat; accepted members do. Addresses beyond your plan's free member seats are listed as Refused.
- With "Access ends on", their access is paused from that day - nothing is lost, and someone who may can resume it.
- To invite someone and give them one board, project or notebook at the same time, use "Invite and share" in that thing's Share dialog. See /help/organizations/sharing.
Choose the role carefully The role is granted the moment they accept. Pick Member or Viewer unless the person should manage the organization.
If something goes wrong
- An address is skipped as already a member or already invited: the dialog lists the reason. Resend the pending invitation from Members instead.
- An address is listed as Refused: your plan has no free member seats left. Free seats, or change the plan.
- The person says the link does not work: it was used, revoked or is older than seven days. Press "Resend" in Members.
- "Only allow members from the allowed email domains" is on: invitations to other domains are refused. See /help/organizations/joining-rules.
