Find members, pause, hand over and leave
See who is in the organization, change many people at once, pause someone's access, hand over their work, or leave yourself.
In short
The Members tab lists everyone in the organization, or in one team, with their role, teams and status. From a member's row you can change their role, pause their access, hand their work to someone else or remove them. You can also leave a team or the organization yourself.
Before you start
- Who: every member sees the member list. Changing a role needs "Invite and manage members". Pausing, resuming, removing and handing over work need "Remove and pause members". Leaving yourself needs nothing.
- Plan: a paused member still holds a paid seat; removing them frees it.
- First: nothing. Open the Members tab.
Steps
- Open the organization and choose "Members", or select a team in the tree to see only its members.
- Search by name, title or department, and filter by "Role" and "Status".
- Press a member's row to open their card beside the list: role, teams, contact, last seen and "Message". Its "…" and the row's own "…" offer what you may do: "Add to a team", "Pause access" or "Resume access", "View as", "Hand over work" and "Remove from organization".
- Tick people in the list.
- In the bar that appears, choose "Add to a team", "Take out of a team", "Change role", "Pause access", "Resume access" or "Remove from the organization".
- Read the result: for each person, whether it was done, refused or left out, and why.
Pause someone's access
- Open the member's row menu and choose "Pause access".
- Leave "From" empty to pause now, or choose the day it begins.
- Leave "Until" empty to pause until someone resumes them, or choose the day it ends by itself.
- Add "Why" if you like - whoever may see the pause sees it - and press "Pause access".
Hand over a member's work
- In the member's row menu, choose "Hand over work" (or "Remove from organization", which shows the same picture first).
- Read the work they hold that you can open: unfinished cards assigned to them, approvals and interviews that wait for them, schedules and monitors that run in their name.
- Under "Hand it to", choose an accepted member to take it over.
- Press "Hand over", or "Remove and hand over" when you are removing them.
The person who takes it over is told, and the history of each record shows the hand-over. Removing someone also says, per module, what passes, what is released and what stays, which teams they lead, and what it costs or frees in seats. After the removal, the same dialog shows each module's progress until every one is done.
Managing a thing never passes in a hand-over Work in their name passes only to someone who can already open what it is on. A board, project or notebook they alone managed is released: nobody manages it until it is shared at Manage or given a manager with Manage all. See /help/organizations/sharing.
Leave an organization or a team
- To leave one team, choose "Leave team" on it. You lose what that team gives you and stay in the organization.
- To leave the organization, choose "Leave organization". It asks you to settle first what only you can do (see below).
- Choose "Who takes your work" and press "Hand over and leave".
- Ownership: if you own the organization, choose an administrator to hand it to as you leave. To give it to someone who is not an administrator, offer it from Settings › Ownership and leave once they accept.
- The next lead of each team you lead.
- Single sign-on: if you are the break-glass administrator, say that single sign-on stops being required when you leave.
- Things only you manage: share them at Manage before you go, or they become things nobody manages.
Everything is saved together, or nothing is.
Good to know
- Pausing, resuming, removing and handing over need Remove and pause members. You can act on anyone whose role holds no more than yours - never the owner and never yourself.
- Nobody changes their own role, and nobody acts on someone whose role holds more than their own.
- People who manage members also see a "Last seen" column, with "Never" for a member not yet active here, and an "Activity" filter with "Not seen in 30 days". Other members do not see when anyone was last active.
- "Message" on a member opens Chat; people who share an organization or a team need no contact request.
- Bulk changes: you are left out of your own batch. Up to 200 people for a role or a team, and 50 for a removal, which asks you to type remove to confirm. A role change that adds paid seats shows the new price first. Adding people to a team sends each an invitation into it.
- Someone came back: when a member who left is admitted again within 30 days, their row menu offers "Ask to give back access". It asks the managers of each thing they lost whether to share it again; each manager decides.
- The Members list has a "Download" menu with Excel and PDF of the people on screen, with the filters you set.
If something goes wrong
- An action is missing from a member's menu: your role holds no more than theirs, it is the owner, or it is you.
- "Leave organization" is not offered: you are the only member. Invite someone and hand ownership to them, or delete the organization in Settings › Danger zone.
- A removal says some modules are not finished yet: the dialog shows each module's progress; wait until each one is done.
- A paused member still holds a paid seat: remove them to free it.
