Choose the modules an organization uses
Turn modules on or off for the whole organization, then make exceptions for one team.
In short
An organization decides which modules its members use. Turn a module off and it disappears for every member while the organization is their workspace - nothing made in it is deleted. One team can differ from the organization.
Before you start
- Who: "Change organization settings".
- Plan: a module the plan leaves out says "Not in the plan" and has no switch.
- First: nothing. Turning a module off hides it; nothing made in it is deleted.
Steps
- Open Settings › Modules.
- Turn a module off, or back on, with its switch. It applies at once.
- Under each module, read who used it in the last 30 days. With "Invite and manage members" you also see the first few names. Turning off a module people used asks you first.
- To treat one team differently, choose it under "Teams that differ". Then set a module to "On for this team", "Off for this team", or back to "Same as the organization".
- Under "When someone joins", choose what people you invite start with: Every product, or Only the ones I pick with the products ticked, and Where they land (Home unless you pick a product). Press Save. People already in the organization keep what they chose.
Result: members see only the modules on for them, in the header, on Home and in search.
Good to know
- A module turned off says, on its screen, that an organization admin turned it off.
- A module the plan leaves out says "Not in the plan" and has no switch: the plan always comes first. Organizations itself has no switch.
- A team's choice covers its sub-teams unless one has its own; the nearest wins. Someone in several teams keeps a module if any of them has it, and someone in no team follows the organization.
- A member's own switches in Settings › Products apply to their Personal Workspace only.
- Every switch is recorded in Activity as Module switched.
- A member can ask to turn a module back on; the request reaches the administrators' inbox with "Turn it on".
- "When someone joins" shapes only the welcome of people invited from then on: each of them can still turn any product on in their own Settings. If another admin saved it while you were editing, you are asked to reload or keep yours.
If something goes wrong
- A module has no switch: the plan does not include it.
- A member still sees a module you turned off: they are in a team set to "On for this team".
