Keep your organization's data in your own database
Put forward your own PostgreSQL database; once a site administrator approves it, the organization's records live on your server.
In short
An organization can keep its data in its own PostgreSQL database: boards, notes, chat, tests and every other module's records. Accounts, plans and billing stay with {{brand}}. A site administrator approves the database first, then {{brand}} lays out its tables there and moves what the organization already has.
Before you start
- Set up your own file storage first, so files live with the data. See /help/organizations/own-file-storage.
- Make a new, empty PostgreSQL database and a user that may create tables in it.
- If a firewall protects the server, allow the addresses the form lists.
- Who: "Change organization settings" sends the database for approval. A site administrator approves it.
- Plan: an own database is part of the Enterprise plan (Plan & usage › Features shows whether yours has it).
Steps
- Open the organization's "Settings" › "Connections", and go to "Data location".
- Fill in "Host", "Port", "Database", "User" and "Password", and a "Root certificate" only when your own authority issued the server's certificate.
- Press "Check connection" and wait until every step passes.
- Press "Send for approval".
Result: the status reads "Awaiting approval", then "Preparing" while the data moves, then "Ready": the organization's data lives in your database.
What the status means
Good to know
- The connection is always encrypted, and every step is checked before anything is saved.
- "Move back to {{brand}}" copies the data back and checks it before removing it from your database.
- "Own cache (Redis)" is optional. Without it, {{brand}} caches none of this organization's content.
- Links shared before a move may stop working after it; share them again.
Your database, your backups Once the data lives on your server, backing it up and keeping it reachable are yours to do.
If something goes wrong
- "An own database needs your own file storage first, so files live with the data." - press "Set up file storage".
- "Not sent: the database did not pass every step." - open the failed step; see /help/settings/fix-a-company-connection.
- The check says the database is not empty: use a new, empty database.
