Create teams and arrange them
Make teams from a template, nest them, name a lead and a deputy, decide who can join and how the team's new things start.
In short
Teams split an organization into the groups people work in, nested as deep as you need. A team can start from a template with boards and projects already made, has a lead and a deputy who may run it, and decides who can join. Things filed under a team open to its people.
Before you start
- Who: "Create and arrange teams" (an Organization Admin holds it), or being the lead or deputy of the team or of a team above it.
- Plan: your plan sets how many teams an organization may hold. Things a template makes count against your plan like anything you make by hand.
- First: invite the people first. A team holds only accepted members.
Steps
- Open the organization's "Teams" tab and choose "New team", or open a team and choose "New sub-team" in its "…" menu.
- Type the team's name and choose where it sits: at the top level or under a team.
- Pick "Start from a template" if the team should start with things already made. "What the team starts with" lists each one, who it will be open to, and anything that cannot be made.
- Leave "Add me to this team" ticked to be in it, and press "Create team".
- Invite the person to the organization first. A team holds only accepted members.
- On the team's "Members", press "Add members" and pick them.
Result: the team shows in the tree, with its members and the things it started with.
Nest and reorder teams
Drag a team onto the middle of another to make it a sub-team, or onto its top or bottom edge to place it before or after. Drop it on "Drop here" to make it a top-level team. A team cannot go under itself or its own sub-teams.
Without a mouse, select a team and press Alt+Up or Alt+Down to reorder. Press Alt+Right to nest it under the team above and Alt+Left to move it out a level. Press F2 to rename it and Delete to remove it. The … menu offers the same under "Move".
Draft the whole structure with the assistant
- On a new organization's Teams tab, choose "Choose a shape", then "Describe your company". The same choice is in the card shown right after founding.
- Write how the company is organized - the departments and the teams inside them - and choose "Draft with the assistant".
- The assistant shows the whole structure it drafted, one team under another. Fix anything it got wrong in your own words, or confirm.
- The teams are made only when you confirm. Every team starts empty: add people and leads from each team's page.
Undo removes the structure again while nobody has been added to it and nobody else changed it. You need "Create and arrange teams" for this, and the assistant switched on.
Leads, deputies and My branch
On a team's Details tab, "Lead" and "Deputy" in "About this team" name who runs the team; a choice saves at once. A lead and a deputy may arrange their branch without the Create and arrange teams permission. Their branch is the team and every team below it. They may invite and take out members, move them between teams of the branch, rename teams, make sub-teams, set defaults and decide who can join.
A team can also have admins: members who arrange that one team the same way without running it. On the team's Members tab, open a member's menu and choose "Make team admin". Whoever may name the deputy can do this, and nobody can make themselves an admin. An admin has no power over the teams below, names no lead or deputy, and does not read people's figures. When someone should look after a whole part of the tree, choose "Make admin of this team and those below" instead: they arrange every team below as well, and may move or delete those teams, and they still lead nobody. Stopping them, or keeping them as admin of this team only, takes that back at once and ends the invitations they sent to teams they no longer arrange.
A deputy can act at any time, not only when the lead is away. A lead or deputy without a paid seat, or paused, cannot act; the page says who acts instead. "My branch" on the team page shows a lead several things. These are the teams they lead, requests to join that wait for them, teams without a lead or deputy, the people of the branch and stopped work in it.
Who can join a team, and hidden teams
"Hidden" keeps a team out of sight: only its own people, the leads above it and whoever arranges teams see it, its people and the teams below it. To everyone else it is in no list, filter or count, and a share to it reads "A team you cannot see". A hidden team takes no requests to join. Any member who can see a team sees who is in it; only its leads and whoever arranges teams see the invitations it waits on.
How the team's new things start
"New things start as" on a team's page sets who a new board, project, notebook or other thing filed under the team is open to. One choice is "As the team above says". It also sets up to ten shares that the thing gets from the start. Each share is a team or a role (never a person) at a level, for every module or for one. A default is copied onto a new thing when it is made. It never changes a thing that exists, never beats the maker's own choice, and gives Edit at most.
Move people and teams, or delete a team
Moving a team under another, or moving a person to another team, first shows what it changes. It shows how many things open or close to whom, counted over what you can open. Moving a person offers "Keep in both".
Deleting a team keeps its sub-teams, which move up a level, and asks where its things go:
Deleting a team never opens anything to anyone.
Good to know
- Each templated thing is made as you, as if you made it by hand. You need the module and the role to make it, it counts against your plan, and you manage it.
- "Save as a template" on a team's page keeps its kinds of things and its sub-teams as a template of your own organization - never what the things hold.
- Being in a team adds no second role: the organization role still decides the most a person may do. A team opens to its people what is shared with it, or filed under it with the Team choice.
- A team's page shows whether it takes part in the comparison of teams, which its lead or deputy decides. See /help/analytics/compare-teams.
Nobody widens their own reach You cannot add yourself to a team, move yourself into one, or make a team under one you are not part of with yourself in it. Someone else who arranges teams adds you. The one exception is a holder of Manage all, and it is recorded in Activity.
If something goes wrong
- A templated thing could not be made: it says why, with "Try again". Often the module is off for you or a plan limit is reached.
- You cannot add yourself to a team: ask someone who arranges teams.
- A person is missing from "Add members": they are not an accepted member of the organization yet. Invite them first.
- "Ask to join" is not offered: the team is Invite only, or hidden.
