Set your hours, time off and calendars
Planner settings: calendar hours, week start, time zone, reminders, working hours, time off, feeds and calendars.
In short
Planner settings has three tabs: "Your day" (calendar hours, week start, time zone, reminders, working hours and templates), "Calendars" (your calendars, connected outside calendars and private links) and "Time off". Open it from the title row's … menu; everything saves as you change it.
Before you start
- Who: anyone changes their own settings. Making an organization's calendar or cycle needs "Plan team calendars and cycles" while you work in that organization.
- Plan: Planner is part of every plan, Free included. Your plan caps the open items, calendars and cycles a workspace holds (Plan & usage shows them). Connected calendars need a calendar provider to be set up on the server.
- First: nothing. Everything saves as you change it.
Add time off or a calendar
- Open Planner settings › "Time off". Under "Add time off", set From, To, Kind and a Note, and press "Add time off". Tick "Organization holiday (applies to everyone)" for an organization-wide day.
- Or open "Calendars" and, under "New calendar", name it, choose its kind and press "Create calendar".
- Or open "Calendars", go to "Connected calendars" and press Connect for your provider. "Disconnect" removes it.
Share a calendar or a cycle
- An organization's calendar or cycle: press Share on its row in Calendars, or in the cycle's header. A new one filed under a team starts open to that team; filed under none, it is open to everyone in the organization.
- A calendar of your own: "Sharing" on its row shares it with one person at a time, by the address they confirmed, to view or to edit. Only you share it, and they can leave it.
- Someone invited to an event reads that event and answers it, and nothing else of the calendar.
- A cycle counts only what its reader may open: entries on private boards or calendars are left out of the burndown and velocity, and the cycle says how many.
Good to know
- Time off inside a cycle lowers that person's available hours.
- Deleting a calendar deletes its items with it; the message offers Undo, which brings both back. The default calendar cannot be deleted.
- An organization's calendar or cycle can be made only while you work in it, by someone whose role may plan team calendars and cycles (Admin, Manager and Member roles can).
If something goes wrong
- "Switch into an organization to create a team or organization calendar." / "Switch into an organization to add a holiday."
- "We cannot share this calendar with that address. Use the email address the person confirmed on their account."
- "No outside calendar can be connected here yet.": the server has no calendar provider set up.
- "This calendar connection expired or was not started by you - start again."
