Keep a week as a template
Save a real week of your plans and fill another week the same way, in your own workspace or for your organization.
In short
"Save this week as a template" keeps your own dated items of a week - events, tasks, reminders, focus blocks and milestones - each on its weekday and at its time. Use it later to fill another week the same way. In an organization the template is the organization's: everyone there who uses Planner can start from it, in Planner settings and in Templates.
Before you start
- Who: in your own workspace, you. In an organization, saving needs the right to manage Planner there; anyone who uses Planner there can use a template. Whoever saved a template, or someone who manages Planner, can remove it. Removing takes it off the list at once; the message offers Undo.
- Plan: using a template adds items, which count toward the open items your plan allows (Plan & usage shows them).
- Only your own items count: items other people own, items about a record of another module and cancelled items stay out.
Save a week
- Open Planner's Week view on the week you want to keep.
- Open the … menu in the title row and choose "Save this week as a template".
- Give it a name and, if you like, say what it is for. Where the workspace has several calendars, choose one or keep Every calendar.
- Press "Save template".
Fill a week from it
- Open Planner settings and go to "Templates" on the "Your day" tab.
- Press "Use" on the template.
- Pick any day of the week to fill and, if you like, the calendar to add to. Your own calendar is the default.
- Press "Add to the week". The message says how many items were added and opens that week.
Good to know
- A repeating item is kept once for each day it happens that week, so using the template never starts a second series.
- Using a template from Templates fills your next week.
- All of a template is added, or nothing is.
- A template is a copy: changing or deleting the week it came from does not change it.
- A workspace keeps up to 50 templates of up to 100 items each.
If something goes wrong
- "That week holds no dated items of your own to keep": choose a week you planned yourself.
- "Only people who manage Planner in this organization save a week as one of its templates": ask someone who manages Planner, or save the week in your own workspace.
- "A workspace keeps at most 50 saved plan templates": remove one in Planner settings, Templates, first.
