Storage limits and unused Free workspaces
How much a workspace can store on each plan, what counts, how to make room, and when an unused Free workspace's files are deleted.
In short
Each workspace has room for a number of files up to a total size, and each file has a largest size. Settings › Plan & usage › Storage shows what you use. On Free, the files of a workspace nobody signs in to for 12 months are deleted after two warning emails; everything else stays.
Before you start
- Who: anyone sees the storage of the workspace they are in.
- Plan: storage depends on the plan. Files kept in an organization's own storage do not count.
- First: open Settings › "Plan & usage" and find "Storage".
The limits
What counts: card attachments, note files, API Tester request and run files and evidence, and chat files.
Steps
- Open Settings › "Plan & usage" and find "Storage".
- Delete files you no longer need: card attachments, note files, run files.
- Remember that archived cards' files still count.
Unused Free workspaces
- After 11 months without anyone signing in, a warning email goes to the person - or, for an organization, its owner and the people who manage its settings. A second one follows at about 11 and a half months.
- At 12 months, only the uploaded files are deleted. Boards, notes, tests and everything else stay.
- Signing in once keeps everything and starts the count again.
- Paid plans, trials and legal holds are never affected, and neither are private installations.
Good to know
- Files kept in an organization's own storage do not count. See /help/organizations/own-file-storage.
- Limits are never lowered for what you already made.
If something goes wrong
- "Files up to 10 MB can be stored on your personal plan; this one is 14 MB. Compress it or split it into smaller files, then upload it again."
- "240 MB of 250 MB of storage in use on your personal plan. Delete files you no longer need to make room."
- No warning email arrived: check your confirmed address in Settings › Profile.
- Files deleted after 12 months cannot be restored.
