Track your time
Start a timer with one press, add time by hand, and read your day and your week.
In short
Press "Start timer" and the Time tracker counts the time your work takes - on every device at once. Add time by hand when you forgot, and read your day and your week by piece of work. Your time is yours.
Before you start
- Who: in your Personal Workspace you do everything. In an organization, "Open the Time tracker" lets you look and "Track time" lets you track (Admin, Manager and Member hold it; a Viewer only looks).
- Plan: tracking your own time is on every plan, with no limit on entries.
- First: nothing. Your time is yours (see /help/time-tracker/who-sees-your-time).
Track with the timer
- Open Time tracker. With nothing tracked yet, Today reads "Nothing tracked today": press "Start timer" and the timer starts at once. Once today has an entry, the timer card asks "What are you working on?". Type it there, or press "Link a record" to pick a card, a task, a request or another record you can open. Then press "Start timer".
- Work. The clock counts on every device. To say what the time is for after it started, press "Edit the running timer".
- Press "Stop timer". The time is saved as an entry under Today, where you can still change it.
The views are Today, Week and Team. Once something is tracked or a timer runs, Today holds the timer first, then your entries for the day; the old Timer view is part of it. With nothing tracked yet, Today offers "Start timer" and, where your workspace can take one, "See an example week", and "Add time" under "More ways to start".
Start where the work is Every card has a Time line with Start timer, and every record screen has Start timer in its … menu. Planner's Focus mode runs the same timer, so the time is recorded once.
Add time by hand
- On Today or Week press "Add time".
- Type how long it took the way you would say it - 1h 30m, 45m or 1:30 - or choose "Set a start and an end instead".
- Add a description, a linked record, a note and tags if they help. Pick the client the work was for and switch "Billable" on or off, then press "Add time". An entry that exists saves itself as you change it.
With a start and an end, the form warns when the time overlaps another entry, naming the first one. It is a warning only: you can still save.
For a new entry, "From your calendar" lists that day's events and interviews with a start and an end. Press one to fill in what it was for and when; then save.
To change several entries of a day at once, tick their boxes on Today. The bar that appears deletes them - with one Undo for all of them - or adds or takes off tags in one step. A change is made to all of them or to none: in a week that waits for a decision or was approved nothing changes, and the bar says why.
Stop the timer from any screen
- Start a timer and go on to any other screen. While it runs, the header shows its clock, with a stop button beside it.
- Press the stop button beside the clock ("Stop timer"). The time is saved as an entry under Today, the same as stopping it in the Time tracker.
Press the clock itself to open the Time tracker on Today. The header shows no clock while no timer runs. A timer started or stopped on another device, or from a card, shows there too. Where your organization asks for a tag on every entry and the timer has none, the stop in the header is refused with "This organization asks for a tag on every entry." Press the clock, add a tag and stop it there.
Go to another day
- On Today, press "Previous day" or "Next day" beside the date to move one day at a time.
- To jump further, press the date itself and pick a day in the calendar that opens.
- Press "Today" beside the date to come back.
Another day shows its entries and its total; the timer stays on today. "Add time" there adds the entry to the day shown. On Week, pressing a day's bar opens that day too.
Read your week
Week shows seven days as bars against your daily target, the week's total, and one row per piece of work with its time on each day. Press a day's bar to open that day. "Download" in the … menu saves the week as Excel, PDF or CSV; Today has it too. Reports has My time for any period, by day, by piece of work and by tag, with exports to Excel, Word and CSV. It also has Time on a board, for one board's cards. Each day of a row can be typed into - 2h, 45m or 1:30 - and the change is saved when you leave the field; time measured with the timer or with a start and an end stays as it is, so a day cannot go below it. "Copy last week" brings last week's rows and time into an open week, leaving days that already hold time.
On a card or another record, open your entries on its Time line and press "Download all your time on this" for every entry you tracked on it, as Excel, PDF or CSV. The command palette (Ctrl+K) also finds your entries by what they were for.
Settings and tags
Tags group time across records, such as Meetings or Support. Add one from any entry. In Settings, on the "Organization" tab ("Tags and clients" in your own workspace), a tag's … menu renames it, recolors it, marks it billable or removes it.
Clients are whom the work is for. In Settings, on the "Organization" tab ("Tags and clients" in your own workspace), "Add client" gives one a name and, if you want, an hourly rate with its currency (three letters, such as EUR) and a budget in hours. Work for a client, or with a billable tag, starts as billable. The Billable time report in Reports shows billable hours by client, their value at each client's rate and how much of each budget is used. It is for reporting only: nothing is invoiced or paid. In an organization, clients, rates and budgets are kept by the people who manage team time; everyone else picks a client by name.
Organization rules, on the "Organization" tab of Settings for the people who manage team time, say what everyone works by: a tag on every entry, the daily target and the rounding of people who did not choose their own, and how long someone may be away before the timer asks about it (or never). A person's own target and rounding still win. When two managers change the rules at once, the second is asked to reload or keep theirs.
Good to know
- You do not have to say what the time is for first - name it now, later, or never.
- The timer runs on the server, so it shows the same on your phone, your laptop and every open tab. One timer runs per workspace: starting a new one stops and saves the one that was running.
- An entry counts on the day it started, in your time zone; one that runs past midnight stays on the day it began. One entry is at most 24 hours.
- Press an entry to change it. The play button beside it starts a new timer for the same work.
- Time typed as a length is kept exactly as typed; rounding applies only to timers and start-and-end entries.
- In an organization, changing or removing a tag is for the people who manage team time, because everyone there uses the same tags.
- Deleting an entry shows "Entry deleted" with Undo, which brings it back with its tags. Discarding a running timer asks first, because it cannot come back.
- In "Ask or do" you can say "Log 1h 30m on this card", "Start a timer on this" or "Fill my week like last week". You confirm each step, and Undo takes it back while the time is unchanged.
- You can also ask "How many hours did I log this week?" or "My hours by tag this month". The answer counts your finished time to the nearest hour and lists your entries with their exact time. No AI writes it, and only you can read it, or your team lead where your organization lets leads approve timesheets.
- Away from your device for 15 minutes or more while the timer ran (your organization may choose another time, or never)? When you come back, choose to keep that time or end the timer where you left.
- Where your organization asks for a tag on every entry, time cannot be saved without one. A timer may start without a tag, but needs one before it stops - pressing Stop opens it so you can add one. A new cell in the week grid takes the tags of its row.
- What happens next: the timer saves an entry under Today, where you can still change it or delete it. An approved week locks its entries (see /help/time-tracker/timesheets).
If something goes wrong
- A timer ran all night: it was stopped at your limit and marked. The notice opens the entry: set when it really ended and save.
- "That week is approved and locked. Ask a manager to return it before changing its time."
- A linked record shows only its old title: you can no longer open that record. The entry keeps its time.
- "Your role in this organization lets you look at your time, not track it. Ask an organization admin."
- "A running timer has no end yet. Stop it first, then change when it ended."
- "A new timer starts after the one running now began." You backdated a timer to before the one that runs: pick a later start, or change the running timer's start first.
- "That week is submitted and waits for a decision. Take it back to change its time." Press "Take back" on the Week view, change the time and submit again.
- "This organization asks for a tag on every entry." Pick a tag on the entry or the timer, then save or stop it again.
